Refund abuse

Refund abuse and refund fraud
spotted before you pay out.

Refund abuse is when customers exploit refund and return policies: claiming a package never arrived, returning worn items or empty boxes, or returning far more than normal. Unlike a chargeback, the merchant pays the refund directly. Stopping it takes consistent policies, per-customer history, delivery and weight evidence, and a review step for suspicious claims.

Common forms of refund abuse

  • False "not received" claims. The customer says a delivered parcel never arrived and asks for a refund or a reship.
  • Wardrobing. Buying an item for one occasion, wearing it and returning it with the tags put back on.
  • Empty box or swapped item. The return parcel is lighter than the goods, or contains something else.
  • Serial returning. A small group of customers returns most of what they buy, eating shipping, handling and margin.
  • Double dipping. A refund on a return and then a chargeback on the same order.
  • Organized refund schemes. Third parties who file claims on a buyer's behalf for a fee, often with scripted messages.

Refund abuse rarely shows up as a single obvious event. It shows up as a pattern across one customer's orders, or across customers sharing an address, device or email domain.

Signals worth checking

  1. Return rate and count for the customer over a recent window, compared with your normal rate.
  2. Keep time. A high-value item returned within days of delivery.
  3. Delivery evidence for any "not received" claim: carrier scan, signature, address match.
  4. Return tracking. A return label that matches the outbound label, or a tracking number already used on another return.
  5. Package weight against the expected weight of the returned items.
  6. Dispute history. Earlier chargebacks from the same customer, or a not-received claim followed by a return.
  7. History at other stores, where you have a privacy-safe way to see it.

Policy choices that reduce abuse

  • Set a clear return window and state final-sale items at checkout.
  • Limit returns per customer per period, and say so in your policy.
  • Require tracked return shipping and inspect high-value returns before refunding.
  • Offer store credit or exchange as the default on categories prone to wardrobing.
  • Apply the policy consistently, and keep the reason on record for every refusal.

Keep refunds from turning into chargebacks

Process approved refunds promptly and keep the record. Visa requires the issuer to wait 15 calendar days from the date merchandise was returned or services were cancelled before filing a "cancelled merchandise" dispute (13.7), effective for disputes processed from 16 October 2021, which gives you a window to issue the credit. If a chargeback arrives for an order you already refunded, the refund record is usually the strongest evidence you have. See Visa 13.6 credit not processed.

How Verdikx helps

Verdikx is a fraud, chargeback and dispute platform for e-commerce and SaaS merchants, built by Verdikx LLC (New Jersey, United States).

  • Refund-abuse scores and customer risk profiles (Growth, $79/month). Each customer gets a risk profile from their refund and dispute history, which also feeds order screening: a high refund rate adds risk to their next order.
  • Returns workspace (Growth). Shopify returns, Loop returns (beta) and cases you open yourself get an Approve, Review or Decline suggested recommendation with the reasons: return rate, serial returning, possible wardrobing, short keep times, a not-received claim followed by a return, chargebacks, reused or matching tracking numbers, a lighter-than-expected package and network signals. Details are on returns abuse detection.
  • Your policy, applied. Set the return window (30 days by default), maximum returns per 90 days, final-sale tags and the wardrobing threshold.
  • Verdikx Network (Growth, opt-in). Refund-abuse history reported by at least three other participating merchant accounts, shared as one-way hashes.
  • Evidence later. Refunds and returns flow into credit-not-processed dispute packets.

What Verdikx does not do

  • It never approves, declines or refunds a return on its own. You make the decision.
  • It is not a returns portal or a shipping-label tool; it works alongside Shopify returns and Loop.
  • A recommendation is not proof of abuse. Treat it as a reason to look closer.

Frequently asked questions

What is the difference between refund abuse and return fraud?

The terms overlap. Return fraud usually means returning something other than what was bought, such as an empty box, a swapped item or stolen goods. Refund abuse is broader: false not-received claims, wardrobing, excessive returns and refund-then-chargeback, which bend a policy rather than break a law.

How do I handle a customer who says a delivered package never arrived?

Check the carrier scan, the delivery address against the order, any signature or photo, and the customer's history of similar claims. Ask the customer to check with neighbors and the carrier. Many merchants reship once, then require a signature or decline repeat claims. Keep the record in case a chargeback follows.

Should I ban serial returners?

Consider limits before bans. A per-customer return limit, store credit instead of refunds, or excluding a customer from free returns keeps good but frequent buyers while reducing losses. Reserve blocks for customers whose returns show clear abuse, such as empty boxes or repeated false claims.

Can refund abuse lead to chargebacks?

Yes. A customer refused a refund may dispute the charge, and some abusers get a refund and then file a chargeback anyway. Keep return decisions, refund records and policy acceptance together, so you can show the bank a refund was issued or that the request fell outside your policy.
