Prevention and protection

Should you hire a chargeback company or use chargeback software?

Hire a company when you want disputes handled for you and your volume justifies its fees; use software to stay in control and keep what you win. Managed services often charge a share of recovered chargebacks, while self-serve software is often a flat subscription. Either way, the bank decides.

How to choose between a chargeback company and software

  1. Count your disputesPer month, with the amounts recovered last year.
  2. Price both modelsA success fee on recoveries against a flat plan: the success fee vs subscription calculator does the sums.
  3. Decide how much control you wantWhether you see each response before it goes.
  4. Check what's includedOrder screening, alerts, and which processors are covered.
  5. Read the contractMinimums, notice periods and who keeps your evidence if you leave.

How they differ

  • Who does the work: a company's team writes and submits responses; software drafts them from your records and you approve.
  • Pricing: a success fee on what's recovered, sometimes with minimums, against a flat monthly price.
  • Control: with a service you send data and wait; with software you see each response before it goes.
  • Prevention: some services and some software add order screening or alerts, so check what's included.

Which fits

  • A company: high dispute volume, nobody in-house to handle it, and fees that are small next to recoveries.
  • Software: a store that wants control, a predictable cost and evidence captured automatically.
  • Neither yet: a handful of disputes a year can be answered by hand with free rebuttal templates.

Example: $8,000 recovered a month

A store recovers $8,000 a month from disputes. At a hypothetical 25% success fee, that costs $2,000 a month; a flat $79 plan stays $79 however much is recovered. At $200 recovered a month, the success fee is $50 and the flat plan costs more. The volume decides which model is cheaper.

More questions

What does a chargeback management company do?

It handles disputes for you: it receives the chargebacks from your processor, gathers the evidence, writes and submits the responses, and often adds prevention services. You give it access to your data and usually pay a share of what it recovers.

Can chargeback software and a chargeback company work together?

Usually you pick one to submit responses, since one response is allowed per stage and two parties answering the same case causes conflicts. Prevention tools, such as order screening, can run alongside either.
