Winning and losing disputes

Can a merchant fight a chargeback?

Yes. You answer the chargeback through your payment processor with evidence that fits the reason code, before the processor's deadline, which is usually 7 to 21 days on Stripe and Shopify Payments. The cardholder's bank then reviews your response and decides; Stripe says issuers typically take 60 to 75 days.

The five steps

  1. Read the reason code, not just the customer's message. Look it up in the reason code lookup.
  2. Decide whether to fight. Some codes are usually accepted (which chargebacks to accept), and Stripe charges a separate countered fee when you respond, returned if you win.
  3. Gather the evidence that code needs: for example, a carrier delivery scan for "not received", or AVS and CVV results, the checkout IP address and earlier undisputed orders for a fraud claim.
  4. Write a short rebuttal letter that answers the claim and lists each record as an exhibit (rebuttal letter templates).
  5. Submit through your processor before its deadline, at least 2 days early, so a failed upload can be fixed. On Shopify Payments you build the response in Shopify admin. Work out the dates with the time limit calculator.

What to avoid

  • Accusing the cardholder of fraud: state what the records show.
  • Treating a tracking number as proof of delivery without the carrier's delivery scan.
  • Submitting IP or device data you can't trace to the checkout.
  • Sending part of the evidence now and part later: one response is usually allowed per stage.

Where Verdikx fits

Verdikx imports your disputes, shows the playbook for each reason code with every evidence item marked Available, Partial or Missing, and drafts the response with AI from your store's records for you to review. On Growth and up, Autopilot can submit inside limits you set, where the processor allows it. The cardholder's bank still decides.
